Overview
Landlord Ledger is a rental property receipt, expense, mileage, unit, and report tracking app for small landlords. The app is designed to operate locally on your device, and can automatically sync your data across your own devices through your personal iCloud account. We do not operate our own servers that collect or store your personal data.
Information We Do Not Collect
Landlord Ledger does not collect, store, or transmit your personal data to our own servers.
- We do not collect your name, email address, or personal identifiers.
- We do not upload your receipts, images, PDFs, property records, unit records, mileage trips, reports, or backup files to any server we operate.
- We do not track your location.
- We do not use analytics, advertising, or tracking SDKs.
- We do not operate cloud accounts of our own — when sync is enabled, your data travels only through your personal iCloud account, using Apple's infrastructure, not ours.
Camera, Photo Library, and File Access
Landlord Ledger may request access to your camera, photo library, or files so you can scan receipts, import images, or import PDF documents. These files are processed locally on your device.
Local Storage and iCloud Sync
The app stores data locally on your device, including:
- Receipt images and PDF files
- Extracted OCR text
- Receipt details such as merchant, amount, date, category, notes, linked property, and linked trip
- Rental property details such as property name, address, and notes
- Rental unit details such as unit number, monthly rent, start date, optional end date, and notes
- Fixed expense details such as amount, frequency, start date, optional end date, and notes
- Mileage trip details such as purpose, date, origin, destination, distance, rate, property, linked receipts, and notes
- App preferences such as language and security settings
If you're signed in to iCloud on your device, Landlord Ledger automatically syncs this data across your own devices using Apple's iCloud (CloudKit), so the same properties, receipts, and reports are available wherever you use the app. This sync goes directly through your personal, private iCloud account — we cannot see or access it, and it is governed by Apple's own iCloud privacy practices. You can turn sync off at any time in iOS Settings → [your name] → iCloud → Apps Using iCloud → Landlord Ledger. The app also lets you remove data from a single device (while keeping it in iCloud) or delete it from iCloud entirely, from Settings within the app.
Data you haven't chosen to sync, export, back up, or share stays on your device (and, if sync is enabled, in your own iCloud account).
OCR Processing
Text recognition is performed on device. Receipt images and extracted text are not sent to our servers.
Export, Backup, and Sharing
Landlord Ledger allows you to export CSV reports, receipt files, and backup files. These files are created only when you choose to export or share them.
Once you share exported files with another app or service, that app or service handles the data according to its own privacy practices.
Security
Landlord Ledger may use device-provided security features such as Face ID, Touch ID, or device passcode protection. Password-related information is stored locally and is not transmitted to external servers.
Third-Party Services
Landlord Ledger does not use third-party analytics, tracking, or advertising services.
Children's Privacy
Landlord Ledger is not directed to children under the age of 13. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised effective date.
